1. Overview & Who We Are

DentalHire NC ("we," "us," "our," or "the Platform") operates an online dental staffing marketplace at thedentalhire.com (the "Site"). We connect dental professionals seeking employment with dental practices in North Carolina.

DentalHire NC is operated as a job board and marketplace — not a staffing agency. We facilitate connections between dental professionals and dental practices but are not a party to any employment agreement formed through the Platform.

2. Information We Collect

A. Information You Provide Directly

Dental Professionals (Job Seekers):

• First and last name
• Email address and phone number
• Professional role/title
• City/location within North Carolina
• Years of experience
• NC dental license number (optional)
• Dental software proficiency
• Availability preferences (temp, permanent, or both)

Dental Practices (Employers):

• Practice/office name
• Contact person's name and email address
• City/location within North Carolina
• Job listing details (position, pay rate, dates, description)
• Subscription or payment account information (processed by Stripe — see Section 6)

Job Applications: When a professional applies to a job, we collect their name, email, phone number, and any message they include.

Practice Invitations: When a practice sends an invitation to a professional, we collect the practice name, email, role requested, and message.

B. Information Collected Automatically

• Browser type and version
• Pages visited on the Site
• Date and time of visits
• Referring URLs
• Session storage data (for subscriber access tokens)

We do not use persistent tracking cookies, advertising pixels, or behavioral profiling tools.

3. How We Use Your Information

We use the information we collect to:

• Create and maintain your professional profile or job listing
• Facilitate connections between job seekers and dental practices
• Allow professionals to view their own profile, applications, and invitations
• Allow subscribing practices to browse available professionals and send invitations
• Process payments for job postings and subscriptions (via Stripe)
• Respond to your inquiries or support requests
• Send transactional communications related to your account or listing
• Improve and maintain the functionality of the Site
• Comply with legal obligations
• Detect and prevent fraudulent or abusive activity

We do not use your information for advertising, behavioral profiling, or sale to third parties.

4. How We Share Your Information

We share your information only in these limited circumstances:

A. With Dental Practices (Subscribers)

Subscribing practices can view a professional's role, city, experience, software skills, and availability. Contact information (email and phone) is never shown to practices through the profile browser.

A professional's name, email, and phone are only shared with a practice when the professional actively applies to that practice's specific job listing — this is the professional's explicit consent to share their contact details with that employer.

B. With Service Providers

• Railway.app — our hosting provider, which stores the Site's database on secure servers
• Stripe, Inc. — payment processor for job listing fees and subscriptions (see Section 6)
• GitHub, Inc. — hosts our source code (no user data stored)

C. For Legal Compliance

We may disclose information when required by law, court order, or government authority, or when necessary to protect the rights, safety, or property of DentalHire NC or others.

D. Business Transfers

If DentalHire NC is acquired, merged, or its assets transferred, user data may be transferred as part of that transaction. We will notify users if this occurs.

5. How We Protect Worker Privacy

Our platform is designed specifically to prevent exploitation and unwanted contact:

• No public contact info: Worker email and phone numbers are never displayed on any public-facing page
• No cold outreach from practices: Practices cannot contact workers directly — they submit an invitation through the platform, and the worker decides whether to respond
• Anonymized public profiles: Public-facing worker cards show only role, city, experience, and software — no names or identifying details
• Worker-controlled applications: A worker's contact information reaches a practice only when the worker actively applies to that practice's job
• Subscriber-gated profiles: Even subscribing practices see only first name, last initial, and professional details — no full name or contact info

6. Payment Processing

All payment processing is handled by Stripe, Inc., a PCI-DSS compliant payment processor. DentalHire NC does not collect, store, or process credit card numbers or banking information.

When you pay for a job listing or subscription, you are interacting directly with Stripe's secure payment interface. Stripe's privacy policy governs the handling of your payment data: stripe.com/privacy.

We receive transaction confirmation and a reference ID from Stripe, but never your full card details.

7. Cookies & Session Storage

DentalHire NC uses minimal browser storage:

• Session Storage: We store a subscriber access token in your browser's session storage if you unlock the professional profiles section. This data is cleared when you close your browser tab and is never sent to third-party services.
• No advertising cookies: We do not use Google Analytics, Facebook Pixel, or any advertising or behavioral tracking technologies.
• No persistent cookies: We do not set long-lived tracking cookies.

8. Data Retention

We retain your information for as long as necessary to provide our services:

• Professional profiles: Retained until you request deletion or your profile is deactivated
• Job listings: Retained for the duration of the listing and for 12 months after expiration for record-keeping
• Job applications: Retained for 12 months after submission
• Invitations: Retained for 12 months after submission
• Payment records: Retained for 7 years as required by tax and financial regulations

9. Your Rights

Regardless of your location, you have the following rights regarding your personal data:

• Access: You may view your own profile at any time by clicking "My Profile" and entering your email
• Correction: You may request corrections to inaccurate data by contacting us
• Deletion: You may request deletion of your profile and all associated data at any time by contacting us at the address below. We will process deletion requests within 30 days.
• Portability: You may request a copy of the data we hold about you
• Opt-out of communications: You may unsubscribe from any promotional emails at any time

California Residents (CCPA): California residents have additional rights under the California Consumer Privacy Act, including the right to know what personal information is collected, the right to delete personal information, and the right to opt out of the sale of personal information. We do not sell personal information. To exercise your CCPA rights, contact us.

10. HIPAA Notice

Dental practices using this platform are responsible for ensuring that any dental professional they hire through DentalHire NC complies with all applicable HIPAA requirements once employed or contracted. DentalHire NC makes no representations regarding any professional's HIPAA training or compliance.

Do not include any patient information, PHI, or HIPAA-protected data in any job listing, application, or message submitted through this platform.

11. Children's Privacy

DentalHire NC is intended for use by adults and dental professionals age 18 and older. We do not knowingly collect personal information from anyone under the age of 18. If we become aware that we have collected personal information from a minor, we will promptly delete that information. If you believe we have inadvertently collected information from a minor, please contact us immediately.

12. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we make material changes, we will:

• Update the "Last Updated" date at the top of this page
• Post a notice on the Site's home page for at least 30 days
• Where feasible, send email notice to registered professionals

Your continued use of the Site after changes become effective constitutes acceptance of the updated policy.
